From the Clerk:

As we enter the 313th Session of New York Yearly Meeting, let us not just begin again; let us begin anew. I ask each and every one of us to live into expectant worship where we meet God and each other. This will serve us well as we live into a vibrant community committed to our faith and practice over our week of being together, seeking way forward with Divine guidance.

Our theme “Spiritual Community Across the Spectrum of Age” is a joy and challenge. My sense is that we will find ourselves standing on “fertile soil” as we continue to be guided by God, with new spiritual roots enabling our taproot to go deeper. As a community we are being called to be revolutionary in our faith, to go beyond our fears, and to build bridges to wholeness. The spectrum of ages allows us to be opened to new patterns and possibilities as we seek to do the spiritual work that we will be given.

We are a faith community that gathers in expectant worship, listening, waiting, discerning, and open to being called to witness. God gives us all that we need, so let’s seek the love and faithfulness among us. Our Sessions Committee, with prayerful discernment and care, is offering to Friends a scheduled week of activities in hope of fostering nurture and support as we live in community while at Silver Bay and beyond. Our shared opportunity as a body is to engage fully in meeting for worship with a concern for business, seeking guidance from the Divine as we walk on this path, corporately giving voice to God’s will as witness/action. We look forward to our plenary speakers, Chris DeRoller and Mike Clark, youth directors of Powell House, as they bring their vocal ministry of youth/youth work and wholeness as the Yearly Meeting seeks to be more of a multigenerational community of faith. We are also being called to gather for extended worship as Meeting for Discernment will be held on Tuesday; this is a time to sink deeper and deeper into the place where God resides and speak the joys, concerns, and movement of the spirit of you/your meeting. Dear Friends, these are but a few highlights of how we will move through the week of worship, fellowship, community life, living our faith and practice as New York Yearly Meeting.

Friends, this is the invitation to meet and greet one another with love and respect, to participate fully in the work we are given, from the youngest to the oldest, living in community—praying, waiting, listening, discerning God’s will, leading to our response.

Friends, we are called to come together beginning anew. Let us practice welcoming each other as if for the first time, continue to grow into community as we serve God, and pray for guidance as we experience community living with integrity, humility, grace, and faithfulness respecting yourself and each other. My prayer is for us to live our week together fully engaged in our faith and practice, having courage to let go and surrender to the obedience of the Divine. May our hearts know love, feel hope, experience truth with care and kindness as we come together in July to share how God is moving amongst us.

May you be held in the Light,

Ernestine Buscemi, clerk, NYYM

Staying on Campus

Room Reservations

NYYM will send your reservation forms to Silver Bay, which will acknowledge your room reservation and request a nonrefundable room deposit of $50 per person, which will be applied to your final bill. Do not send room deposits to the NYYM office. The balance of the Silver Bay charges must be paid at the SB Desk before you leave. Silver Bay cannot guarantee housing or food for those who don’t preregister.

Preference for rooms is given to those who stay for the entire week. Rooms are assigned in the order in which requests are received. It is advisable to register early. All rooms have double occupancy. Beds for children may be added to some of the larger rooms. If you require a single room we suggest you find accommodations off campus.

If no rooms are available at your price, you may be assigned to a room at a higher price. You will receive prior notice if this is necessary. A few double beds are available in the Inn, Bayview, and Trinity. If you would like one, please indicate that on your registration form. Room reservations will not be held after 6:00 P.M. unless the room is completely prepaid or you call Silver Bay to notify them of your late arrival. If you need to cancel, call Silver Bay (518-543-8833, ext. 350), so your room can be reassigned.

Silver Bay room check-in begins at 4 P.M. on Sunday, July 20. Checkout time is 11:00 A.M. daily. Luggage can be left in designated areas after checking out. Those not out of their rooms by 11:00 A.M. will be charged for an extra day. No refunds are issued for early departures, unless arrangements are made prior to check-in.

All rates are per person and include a 5% gratuity.

Suites in Bayview and the Inn have a surcharge of $25 per day, in addition to all other charges, if occupied by fewer than three persons.

The Half-Conference rate is for those attending from Sunday, July 20, to Wednesday, July 23, or Wednesday, July 23, to Saturday, July 26. The Extra Day rates are for those who wish to arrive on Saturday, July 19. Silver Bay does not guarantee that you will be assigned to the same room on the extra day.
Clustering (staying in rooms that are close together) is required of all parents/guardians/sponsors and the children they are supervising. E-mail your registrations in at the same time or mail in the same envelope.

No one should go to SilverBay without an advance registration with New York Yearly Meeting and assurance from SilverBay that there is room for you.

For a map of the Silver Bay campus, please see the map on Silver Bay's Web site (opens in a new window) or request one from the NYYM office.

ALERT to Guests Needing a Roommate

Silver Bay YMCA will make every effort to find a roommate but cannot guarantee to find one. Guests will be less likely to incur a single-room rate if they make their own contact for rooming together. Silver Bay will inform registrants one week prior to arrival if they are unable to find a roommate. All guests are responsible to make full payment for the period for which they register regardless of their actual length of stay; thus a remaining roommate would not be financially responsible for the early, unplanned departure of another roommate (since there is no refund for early departure). But a guest who has no roommate registered will be charged for the single rate. To be sure there are no misunderstandings it is best for roommates to check in together at the Silver Bay registration desk when they arrive.

Staying Off-Campus

There is no camping space available on-site at Silver Bay. Campsites Friends have used in the past are listed on the NYYM Web site, www.nyym.org., along with area motels.

Early reservations for campsites and motels are advised. You may wish to notify management that you are attending the YM at SilverBay so that you can be near other Friends.

All off-campus and day registrants must pay a Day Use Fee to Silver Bay (see table), which allows use of the facilities, including the swimming areas, gym, art center, and boathouse.

Off-Campus and Day Registrants

Friends camping, commuting, or taking rooms off campus are asked to give their addresses for the week on the registration form. Otherwise, please supply this information when picking up the badges. Badges are required for all attenders. Replacement charge for lost badges is $2.00.

People staying on campus pay for the use of facilities through their lodging costs; those living off campus and daily commuters pay for the use of the facilities through an off-campus fee, paid when checking in at Silver Bay.

The fees for the use of facilities are as follows:

Individual $22 per adult
or $11 per youth 6–17
for one day*
Individual $132 per adult or $66 per youth 6–17
for the week*
Family $297 for the week*

*Please add $2/person for name badge.

For Friends camping at local campgrounds we will offer a reduced family rate of $235 for the week. To obtain this rate you will need to present a paid-in-full receipt from the campground when checking in at the Silver Bay front desk. Please give the campground address on your registration form.

Meal tickets for the Silver Bay dining room can be purchased at the Inn front desk in advance of desired meals. The cost per meal is:

Breakfast $10.00
Lunch $10.00
Dinner $14.00

A special rate may be obtained if meals are bought as a “package,” though this can be done only on July 20, upon arrival. These package rates are:

Six breakfasts for $55.00
Six lunches for $55.00
Six dinners for $77.00

If you intend to buy meal tickets when you arrive at Silver Bay, please indicate this on your registration form.

A name badge must be worn and a meal ticket purchased by anyone staying off campus who wants to eat in the dining room.

REMINDER: All off-campus registrants must report to the Yearly Meeting desk AND the Silver Bay registration desk upon arrival.

Financial Assistance Available
for Silver Bay

Advancement Committee

June 26 is the deadline for financial assistance. To help make Silver Bay more affordable to Friends in need, the Advancement Committee provides modest scholarships.

To apply for an Advancement scholarship, first, ask your monthly meeting and quarterly/regional meeting for support. Second, fill out the Financial Assistance section of your registration form stating the amount you expect to receive from your meeting. Then write in the amount you need from the Advancement Committee. Our committee provides adults and children up to one-third the cost of the lowest-priced housing. If you have a physical condition that limits your mobility and your access to the lower-priced housing units, please give us that information on your registration form. We may be able to adjust your scholarship.

Scholarship applications are due in the Yearly Meeting office by June 26. If you are a first timer, please be sure to check that box on the registration form. A confirmation slip will be e-mailed (or mailed) to you by July 10 indicating the level of aid you will receive. This slip must be presented to the Silver Bay desk as part payment of your bill. If you have questions please contact the NYYM office.

Healing Work at Silver Bay

Buffy Curtis and Healing Center Support Committee

Back by popular demand and with the support of NYYM Friends, MCC, and Sessions Committee... Calling all Friends who work in the healing arts or are interested in helping with healing work. Sproul Pavilion will have regularly scheduled hours of 1 to 5 P.M. each day (except Tuesday) for healing work this year at Summer Sessions. A committee has been formed to oversee this work, including Buffy Curtis, Kathy Slattery, Ron Peterson, and Joe Garren of MCC.

We are looking for volunteers who would offer their skills in the healing arts and/or support the work by greeting and scheduling. Skills can include energy work (Healing Touch, Reiki, Therapeutic Touch, etc.), massage, Rolfing, craniosacral, spiritual counseling/direction, or other areas of healing work and training with qualifications or experience to practice. Friends who are called to the work are welcome to “buddy” with other practitioners as possible. We will need people to meet and greet and help match those desiring work with the practitioners available. Those wishing to hold the space in prayer are welcome indeed. It is yet another extension of worship after all....

Please contact Buffy Curtis, buffy [at] powellhouse.org or call 518-794-8811 x 10 or 508-566-6639 (cell) to offer your assistance, make suggestions, or let us know what else you need. There will also be a place on the registration form to indicate your wish to volunteer. We plan to talk and meet with volunteers at the beginning of Silver Bay sessions to organize and clarify details.

We look forward to hearing from lots of you by July 14 and/or look for us at the Healing Center.

Disability Concerns at Silver Bay

Friends who indicate special needs on their registration will receive a form to fill out and return to Sarah Miller, who will be the NYYM special-needs coordinator at Silver Bay. The form requests specific information on your disability, which will be kept confidential. This information will help the special-needs coordinator be better prepared to meet Friends' needs.

There will also be opportunities for Friends to be special-needs volunteers. A checkbox for volunteers is on the registration form.

Housing
There are five mobility-accessible sleeping rooms, with bathrooms, in the Inn that are reserved for those using wheelchairs (and their roommates). One-tenth of the rooms in the Inn will be reserved for people who, for any reason, find it physically difficult to room elsewhere. These rooms will be held only until July 1, and then will be released for general availability.

If you have a disability or illness that makes it hard for you to climb hills or steps, please make sure that you sign up early, and request one of the reserved rooms. Financial assistance is available from the Advancement Committee.

Friends who are unable to transfer themselves to and from wheelchair/bed, etc., and require special assistance with dressing, bathing, or other personal needs must arrange this assistance on their own and must have the person assisting stay in their room. The caregiver must be in attendance for the length of the stay of the person requiring this type of specialized help. Silver Bay will offer a special reduced rate for the person assisting.

Worship and Meetings
The people who set up the worship sharing groups need to know if you have hearing or physical problems so that note takers can be provided, or accessible locations allocated. Please indicate on your registration form if you will require such assistance.

Food Service at Silver Bay

Meals for the conference period begin with dinner on Sunday evening and conclude with lunch on Saturday. If you plan to arrive at Silver Bay early enough to have lunch Sunday, you must make arrangements with Silver Bay in advance to purchase this meal, which is not part of the conference package.

Silver Bay will provide standard and vegetarian menu choices for each meal. Vegetarian meals will include eggs, milk, and cheese but no red meat or fish. Silver Bay cannot accommodate “specialty” diets. A full salad bar will be provided at both lunch and dinner. If you are a vegetarian, please indicate this on your registration form, so that Silver Bay can be prepared.

For those who have other special dietary needs, it is recommended that you bring your own food. Silver Bay will provide refrigeration. A refrigerator will be made available for baby food, etc. Cooking facilities for those with special dietary needs (though not for campers) will be available in Paine Hall—1st floor off rotunda—and in Spruce Mountain Lodge kitchen.

The Silver Bay cooks will not add salt to either the regular food or the vegetarian food. Salt will be available on the tables.

Food service coordinator is Martha Gurvich.

Junior Yearly Meeting

JYM Frequently Asked Questions

Welcome young Friends and parents/guardians to Junior Yearly Meeting (JYM). Here are some basic things for everyone to remember:

When you arrive at Silver Bay you must check in with Silver Bay and get room assignments, then proceed to the JYM Office in the Falcon’s Nest on the top floor of the boathouse to register with JYM.

What do I do at JYM registration? For each of the children you are bringing to Yearly Meeting, you need to have your medical information ready, including your child’s relevant medical history and a record of any allergies. You will receive a copy of the schedule for the week for each group and will have to sign permission forms, if necessary, for any trips out of JYM’s assigned space or scheduled session time. You will also meet some of your child’s group leaders.

Where does my child go? JYM goes by grade, not by age. Each of our groups is based on the grade the young Friend will be entering in the fall. Every group meets in the same individual location throughout the week. For the 0–5 years age group, Silver Bay offers childcare, which is supplemented by JYM volunteers and Friendly volunteers. All JYM volunteers will be wearing brightly colored name tags so they are easily recognized. Parents/guardians/sponsors of children under the age of 10 are expected to drop off and pick up their children, or have given the group leaders the name of a designated adult to do this for them. Please be prompt so that group leaders can close the space and continue with their day.

When does JYM meet? The JYM program meets Monday through Friday from 8:45 A.M. to 12:00 noon. Parents who are picking up young children from their groups are reminded to please do so at noon, so that our wonderful volunteers have time to clean up and go to lunch.

Are there other JYM-sponsored activities besides the group meetings in the morning? Sometimes official JYM group activities will take place after our morning hours. The parent/guardian/sponsor will have to sign a permission slip for each event scheduled outside of the regular group meeting time and location. The two exceptions are the Fun(d) Fair, which takes place on Wednesday afternoon from 1–2:30 P.M., and Café Night, which takes place on Thursday evening from 7:30–9:30 P.M. No permission slips are required for these two JYM-affiliated events, as parents will be present.

Is there childcare provided during committee meeting/study group/interest group times in the afternoon? Yes, there is cooperative childcare for children up through the age of 10, with JYM volunteers and JYM parents, every day from 2:15–5:30 P.M. and from 6:30–9:45 P.M. on Monday, Tuesday, and Wednesday. On Thursday, JYM childcare will be provided from 6:30–7:45 P.M. and on Friday, from immediately following the conclusion of the JYM closing celebration until 9:45 P.M.

All of the PM Childcare sessions rely on volunteer help. We ask that all adults who are responsible for children attending PM Childcare please sign up on the volunteer schedule to help out. The sign-up sheets will be available when you sign your children in at PM Childcare. We thank you in advance for helping to provide care for all of the children in our community.

How do I know where my child is during the day? During official JYM sessions they should be with their JYM groups. Any child not attending their age-appropriate JYM group must be accompanied by a parent, guardian, or parentally designated adult companion during JYM session times. If there are questions about this, please see the JYM coordinators in the office in the Boathouse.

Parents/guardians/sponsors are responsible for JYMers during non-JYM hours. We suggest that you have a regular check-in time and location for the young Friend(s) and the parent/guardian/sponsor to connect each day.

Which group will my child be assigned to? The JYM groups are organized by standard public school grades in an effort to build on the strengths and needs of our children. Experience has shown us that children placed in groups with attenders years older or younger than they are do not work well for community building. Although it is tempting to ask that siblings who are assigned to different groups be placed together, we have found that this is usually a hindrance to both the children and the JYM group.

Can the JYM volunteers provide for my child with special needs? Unfortunately, the JYM program does not have enough staff or volunteers with special training to provide for children with special needs. If your child wishes to attend JYM and needs special attention please plan to participate with them in the program. Please contact the coordinators before your arrival if you will be attending the JYM program with your child.

What about bedtimes? The young Friend and the parent/guardian/sponsor should work out a reasonable bedtime so that the JYM participant can actively take part in the JYM activities in the morning. It is up to the parent/guardian/sponsor to make sure that the young Friend is sufficiently well rested to participate fully in the morning JYM session. It’s best if this arrangement is finalized at home—different families have different rules and there will always be someone who is allowed to stay up later.

When making this decision, please keep in mind that the Silver Bay Conference Center requests that all conference attendees respect their campus-wide 11 P.M. quiet time.

Can my child go to Silver Bay without me? If your child is under 18, he/she may attend Silver Bay with a sponsor. The sponsor should be designated by the parent or legal guardian, and must be at least 10 years older than the young Friend they are sponsoring. The sponsor and the child should know each other reasonably well. When you register your child to attend Yearly Meeting you will need to indicate who their sponsor is, send your child’s registration in with that person’s, and indicate that they will be clustering (rooming near each other). You will need to send a completed medical information form with your child, to be turned in at JYM registration.

What is clustering? People in a “cluster” are assigned rooms in the same building, on the same floor, in close proximity to one another. Clustering allows children and their parents, guardians, or sponsors to check in with one another and communicate responsibly.

Who do I talk to if I have any questions? The JYM coordinators, Jennifer Lindop and Amy White, are available to answer questions about JYM during our week at Silver Bay Monday through Friday, from 8:30 to 12:00 noon in the JYM office in the Falcon’s Nest of the Boathouse. You can also go to the clerk of the JYM committee, Martha Gurvich, and to the JYM/MCCC support committee, or the NYYM conference office in the Inn. If you cannot find us and want to leave a note, there is a message board in the Inn for that purpose.

What do I need to bring? If you register early, JYM volunteers working with your group will send you a letter explaining what you will be doing in your group and listing certain things they think you may want to bring with you. We suggest that everybody bring along:

Also, Silver Bay has a little store where you can buy snacks and a souvenir shop. You might want to set aside some money to spend in these places.

Please bring a can of juice or a healthy snack for our young Friends to eat during snack time and a nonperishable food item for a local food pantry.

Breaking Down Boxes: A Practicum in Listening

Chris and Mike

The Yearly Meeting Annual Sessions offer us a chance to create and deepen our bonds with one another. Chris DeRoller and Mike Clark will lead the community through a variety of activities designed to help us draw closer together by listening to one another’s stories. We will experiment with our tendency as humans to cluster. We will look at “seeing.” We will have time to hear each other’s thoughts on such topics as reality and imagination and power, both acquired and universal. Throughout the evening Mike and Chris will weave in stories of their own experiences of being part of and helping to create multigenerational spirit-filled communities. Young friends, old friends, and everyone in between and beyond are needed to make this a rich and meaningful experience.

Chris DeRoller became a convinced Friend while attending Earlham College. She worked in outdoor education at Earlham and on Cape Cod. She taught fish farming and community development in Guatemala and South Carolina. She spent several years investigating groundwater contamination in North Carolina. While living in Wauchula, Fla., she was involved in monitoring social services, reviewing environmental issues, and working with young Friends in Southeastern Yearly Meeting. She has been codirector of the Powell House Youth Program with her husband, Mike Clark, since July 2000.

Mike Clark and Chris met as Peace Corps volunteers in Guatemala, where Mike lived for six years. He thought that he first attended Friends meeting while in Ithaca, N.Y., but years later realized that the people at Iglesia de Los Amigos in Chiquimula, Guatemala, were actually the first live Quakers he had known. His work in Florida exposed him to people of all ages and backgrounds. He was a family-support worker for a nonprofit that provided preschool child-development programs for migrant and low-income families in 20 rural counties. Intergenerational and cross-cultural described pretty much everything there.

Chris and Mike are the parents of Kayla and Erin. All four are members of Old Chatham Monthly Meeting.

Bible Study

Bible study will be 6:45–7:30 P.M. Monday, Wednesday, Thursday, and Friday. Eden Grace of Friends United Meeting (FUM) will lead Bible study this year. Using Revelation 22:1–5 as a starting point, Eden will explore the Biblical themes of healing, peacemaking, and the restoration of creation. The image of the tree of life, whose leaves are for the healing of the nations, is carried from the Creation, to Ezekiel 47, to Psalm 1, to Revelation 22, the final chapter of the Bible. Eden will relate this powerful metaphor to her experiences among Friends in Kenya, particularly in response to the postelection violence earlier this year.

Eden Grace

Eden is a member of Beacon Hill Friends Meeting, New England Yearly Meeting. She and her family have been living in Kisumu, Kenya, since 2004. Eden works as a field officer in the FUM Africa Ministries Office in Kisumu. Her ministry involves working with the 16 yearly meetings in Kenya and Uganda, and with FUM project partners such as Lugulu Hospital, Kaimosi Hospital, and Turkana Mission. Since the post-election violence in Kenya in January, Eden has been helping facilitate the Friends Church Peace Team as they minister for peace and reconciliation in Kenya.

Fun(d) Fair

Callid Keefe, Circle of Young Friends

Come one, come all to the Fun(d) Fair at Annual Sessions at Silver Bay. Fun(d) Fair is an afternoon of Intergenerational fun, food and family. You can give or get piggy back rides, have your feet washed, play chess, cut hair, buy wondrous things, and more, limited only by your imagination. What do you want to offer?

The Fun(d) Fair is organized and run by the Circle of Young Friends. All proceeds go to benefit Powell House and the Sharing Fund. If you are interested in donating your time, energy, or skill, contact Alexander Haines-Stephan at alexhs [at] juno.com.
Fun(d) Fair Money
The Young Adult Concerns Committee reaffirms that the primary purpose of the Fun(d) Fair is to raise money for PoHo and the Sharing Fund. As such, and as the coordinators and organizers of the Fun(d) Fair at Summer Sessions, we have discerned that everyone selling a product or service at the Fun(d) Fair should be contributing something to the Fun(d) Fair Fundraising efforts. For the 2008 Fun(d) Fair we are instituting the following policy, to be reviewed and reconsidered after the Fun(d) Fair at Summer Sessions 2008:
Everyone selling a product or service at the Fun(d) Fair for cash is expected to contribute 25% of the money brought in to the Fun(d) Fair Fundraising efforts. Furthermore, Friends are encouraged to donate to the Fund beyond 25% as they feel led.

NYYM Silver Bay Waterfront Rules

The Yearly Meeting and Waterfront Rules, 2008

Sessions Committee of NYYM asks our summer session community to NOTICE and OBSERVE the Silver Bay Association Rules for Boat Rentals and Beach Rules.  We also have our own NYYM community guidelines for 2008 and ask each other, as an intergenerational, caring community, to observe the following rules.  WE ASK OUR COMMUNITY:

IF YOU RENT A WATERCRAFT from SilverBay Association. . .

  1. Stay within binocular range (line of sight) of the boathouse staff.
This means not going behind islands, and not going to Divers Rock unless in a supervised group.
  2. Dock rental watercraft only at SBA docks unless specific arrangements are made in advance with SBA personnel to dock elsewhere.
  3. Don't take the rental watercraft beyond the Safe Bay Area* unless there is a person in the craft who is at least 18 years old (this is an older age than Silver Bay Association expects).

IF YOU USE YOUR OWN WATERCRAFT:  Get parent or guardian permission to take anyone under 18 onto your watercraft, and abide by the three advices above.

Here Are the Silver Bay Association Rules:

Rules for Boat Rentals
Sailboats (Sunfish, Lasers)

Canoes

Kayaks

Rowboats

*Safe Bay Area is defined as the line from tip of Slim Point to the employee area raft.

Beach Rules
The following rules are posted on Bay and Slim Guard stands and must be enforced:
